Watch how to offboard an employee in eHubt
This video walks you through the full offboarding process—from marking an employee inactive to safely archiving their records while maintaining compliance.
When an employee leaves your company or is no longer active, eHubt allows you to offboard them while keeping their important records intact. This ensures your staff list stays clean and your compliance data remains secure.
Offboarding removes an employee from the active system—revoking all access—while preserving their data such as ID, documents, and signed contracts.
✅ Use offboarding if you want to retain records without allowing the employee any further access to the eHubt platform.
Here’s a step-by-step guide:
Go to the Staff section.
Open the Employee tab.
Select the employee and set their status to Inactive.
🔒 This disables login access and attendance tracking.
You’ll need their email for the next step.
Click Delete on the same employee.
Paste their email in the confirmation field.
⚠️ Important: You’ll now see two options:
Delete – Permanently removes the employee and all related data.
Offboard – Disables the account but keeps the profile and records safe.
Click Offboard to complete the process.
To view or retrieve information:
Go to the HR module.
Click Offboarding.
Select Offboarded Employees.
Click See Details next to the employee name.
From here, you can:
👤 View employee information (ID, phone, branch, DOB)
📄 Access uploaded documents (e.g., passports, right-to-work files)
📑 Download signed contracts
Delete Completely removes all data (cannot be recovered) Offboard Preserves full profile, revokes access, ensures compliance
If an employee named Navjot Singh leaves your business, but you may need his documents for future audits or reference, offboarding lets you store his records without keeping him active in your system.
Q: Can I reactivate an offboarded employee later?
A: No. Once offboarded, the account cannot be reactivated. You’d need to create a new profile manually.
Q: Can I add documents after offboarding?
A: Yes. You can continue uploading additional documents for reference even after the employee is offboarded.
Q: Will offboarded employees appear in reports?
A: No. Unlike inactive employees, offboarded profiles are archived and removed from active reports.
Q: Is there a log of who performed the offboarding?
A: Yes. Admin actions are logged in the system for transparency.
